ARchive Services Data & Records Management LTD has been in business under this name since 2000, previously being known as ARchive Services Wolverhampton. We continue to grow as a leader in Document and Records management and continually invest in technology so that we can offer all our clients a professional set of business solutions.

To what standards are ARchive Services Records Centres maintained?
We continuously invest in our Records Centres. All stored material is stored in our ‘state-of-the-art’ Records Centre and to ensure that your records are secure we deploy the following security features throughout:
- GSM Red Care Intruder Alarm System
- Advanced VESDA Fire Detection System with GSM Red Care
- CCTV throughout the Records Centre and around the Records Centre parameter
- Controlled Access to all areas of the Records Centre

How will ARchive Services know what document management solution best fits my organisation’s needs?
We will work with you and your team to gain a comprehensive understanding of your company, your daily business processes and your document management requirements. Every aspect will be covered:
- Your current business processes
- Who needs access to documents

Can I track the location of my physical documents at any time?
You can always gain access to your physical documents at any time via our online secure portal, SecureConnectTM. SecureConnectTM has flexible query capabilities which allow you to customise searches to find a required box or file. Locating boxes or files is easy with SecureConnect™ because its intuitive design allows you to search for records by:
- Entering ‘specific’ box or file criteria
- Using search options to broaden or narrow a search based on ‘groups of records’
- Using ‘key word search’ function to find that needle in a haystack
Once you locate a record, with the click of a mouse you can get the information you want, when you want it. SecureConnect™ allows you to view and retrieve your records in a variety of ways. It’s also allows you to track the status or view the history of any box or file. You can even view files within a box.
If I send my documents into storage can I still get access to them?
Yes. Your stored documents at ARchive Services are always available to you and your organisation in many different forms. Request for items from the Records Centre can be made by Phone, Fax, Email or via ARchive Services ‘SecureConnect™’ Web Portal. The following delivery options are available:
Original Hard Copy Delivery of Requested Item or Box
- Emergency Delivery
- Same Day PM – order by 11:00am for delivery before 5pm the same day
- Next Day AM – Order by 4pm for delivery before 12 noon the next working day
- Next Day – Order by 5pm for delivery before 5pm the next working day

If you require an important file or item from a file ARchive Services can retrieve, scan and upload your request onto the ‘Document-On-Demand’ their secure servers. Items can be viewed and printed 24/7, 365 days a year.
These items can also be emailed or faxed to a registered email address or fax number.ARchive Services friendly Customer Services team are on hand to aid and assist all their customers between 8am – 5pm Monday to Friday, with an out of hours service also available.
What is the difference between a Records Management Company and a Storage Company?
Anyone can just store a box in a warehouse, that’s simple, however it’s the daily managing of its contents and itself which is the difference between a ‘storage company’ and a Document Storage and Records Management company. ARchive Services, unlike other storage companies, proactively advise their clients when stored material is nearing pre-assigned retention dates. This can reduce the number of stored boxes and ensure that you are always working within the guidelines of your business regulations and your organisations budget. As our comprehensive business procedures require us to enter a review date into our inventory management system for every item entering the Records Centre, your boxes don’t over stay their welcome. As soon as they can be removed and securely destroyed, with your approval, they are. This ensure that you only ever pay for the storage you actually require.
Isn’t Records Management and Document Storage for large multinational companies?
No!
ARchive Services treat all clients equally - regardless of their size. We understand that managing business documents and ensuring that you are complying with industry regulations and strict legal requirements by yourself can take time and money, especially when your employees spend most of their time filing or searching for documents - time which could be spent and should be spent on making you more business. When you store your business documents with Archive Services, you pay for what you use (from 1 box to 10000 boxes). You may be a sole trader or a large multinational organisation – to Archive Services you and your documents are equal.
When should I convert my documents and records into a digital format?
Converting your documents into a digital format have a number of benefits including:
- Cost savings on storage
- Immediate and simultaneous access by multiple users across multiple office locations
- Increased protection from theft or natural disaster
The main question to ask is “how many people need to access the document at one time?“ If there are a number of employees in different locations who will need to gain access to the document, then digital conversion will most likely be your best solution. However, if one person is only likely to request the document once a month, then digital conversion would not really be necessary or cost effective. You could try our Scan-On-Demand service.
How secure are my digital images?
All stored data on ARchive Services servers is transferred from our Data Centres to two independent and geographically different secure Data Centres throughout the day. This process takes place 24/7 ensuring that all new data is always backed up and secured off-site.
Does ARchive Services recycle shredding material?
Yes. All of our paper shredding is pulped and eventually returns to the public in the form of toilet paper and laser copier paper.
Why should I use Archive Services for my Confidential Shredding?
By choosing ARchive Services for your shredding needs you can rest assured that they will be transported and destroyed with absolute security and confidentiality. Your confidential material is transported in locked containers and remains locked until they arrive at our Records Centre. Once they arrive at the Records Centre they are immediately co-mingled with millions of other documents ready for destruction. ARchive Services staff sort all incoming material for appropriate processing, taking out any plastic items or heavy cardboard. These items will be recycled through a different process.
I understand the need to shred confidential material, but my employees still don’t get it. Can ARchive Services help me educate my employees?
Yes. By supplying material for you to use around busy office areas (printer/photocopiers) you can quickly and efficiently draw your employees attention to the requirement to place confidential and business information in specific shredding bins instead of waste paper bins. Our shredding bins can be placed in high traffic areas so that using them becomes part of your everyday business process.
